Campaign stakeholder notification journey

An overview of the key notifications campaign stakeholders may receive throughout a campaign.

As a campaign stakeholder, you will receive email notifications to keep you in the loop about any campaigns who have been assigned to. There are four different notifications you may receive:

  1. Executive Sponsor / Campaign Lead assignee
  2. Facilitator assignee
  3. Campaign launching
  4. Weekly summary (at different stages)
    1. No themes published
    2. Themes published
    3. Action plan started
    4. Action plan summary


1. Executive Sponsor / Campaign Lead assignee

If you are assigned as an Executive Sponsor or Campaign Lead, the first notification you will receive is an email informing you that you've been added to a campaign. This notification is to encourage ownership of the campaign and to ensure the correct campaign details have been applied. The email will outline key details such as campaign name, target launch date, estimated ROI, Executive Sponsors, Campaign Leads, and AI facilitator settings.

 


2. Facilitator assignee

If you are assigned as a facilitator, the first notification you will receive is an email informing you that you've been added to a campaign. This notification is to encourage you to review the campaign details and prepare for the upcoming launch. The email will outline key details such as campaign name, target launch date, estimated ROI, Executive Sponsors, Campaign Leads, Facilitators, and AI facilitator settings. 

 


3. Campaign launching

The next notification is sent to all stakeholders the day and time a campaign is launching to remind them of the campaign details and to motivate them to look at the Live feed. Stakeholders can jump into the Joyous platform by clicking the link next to each campaign name.

đź“ť  Note: If there are multiple campaigns launching on the same day, these will be grouped into one email. However, you will only see campaign details of the campaigns where you are a stakeholder.

 


4. Weekly summary

After a campaign launches, stakeholders can expect to receive one summary email (per campaign) every week, sent on the campaign’s chosen summary day (typically Fridays). There are four types of weekly summaries depending on what campaign data has been published:

a. Weekly summary - no themes published
Campaign stakeholders will receive the below notification each week until themes have been published. The email outlines key conversation metrics and guides stakeholders to respond to outstanding, and in progress conversations.

 

b. Weekly summary - themes published

The weekly summary will expand to include top actionable themes and suggested actions once themes have been published. There is also a call to action to motivate stakeholders to start action planning (create tasks, assign owners, and define completion dates).

 

c. Weekly summary - action plan started

The weekly summary will expand again to include action plan data once actions items and tasks have been added to the action plan in Joyous. This notification motivates stakeholders to take action and mark tasks as completed. It also allows them to see action items and relevant tasks.

 

d. Weekly summary - action plan summary
After the campaign ends, stakeholders and action assignees will continue to receive weekly notifications listing outstanding tasks. These summary emails will be sent up to 180 days after the campaign’s first send or until all tasks have been marked as completed.

The tasks and action items stakeholders and assignees see are determined by their level of visibility. There are four types of visibility:

i. Full visibility
People with full visibility will see every task and action item for any campaign within an organization.

ii. Campaign stakeholder visibility (Executive Sponsors, Leads, Facilitators)
Campaign stakeholders will see every task and action item for any campaign they are assigned to.

iii. Hierarchical and dotted line leader visibility
Hierarchical and dotted line leaders will see the tasks and associated items they have been assigned to as well as the tasks and associated items of anyone below them in their direct / indirect reporting lines. 

iv. Action assignee visibility
Action assignees that are not campaign stakeholders or leaders within their organisation will only see the tasks and associated action items they are assigned to.
